Brother Printer Fax Setup [Quick Guide]

Before you begin sending and receiving fax on Brother Printer, you need to set up the Fax.

And before you even start the setup process, you need to decide on which type of receive mode you’ll use.

Types of Fax Receive Mode

The fax receive mode determines how you retrieve your faxes. Decide on which receiver mode to use taking into account the devices using the telephone line you intend to use for your Brother Printer fax.

To help you make this decision, below are the types of fax receive modes:

1. Distinctive Ring Number

This mode is perfect for those that want to use two distinct telephone numbers on one telephone line. With this, you can use one line for voice calls and the other for faxes.

2. Voice Mail Mode

If you use the voice mail on the telephone line that you use for your Brother Printer, you will end up with an issue. This issue comes in form of conflict between your Brother Printer and the voice mail.

When your Brother Printer fax answers an incoming voice call, the caller won’t be able to drop a voice mail. And when the voice mail receives fax, you won’t be able to get the fax.

3. External TAD Mode

In this mode, your answering machine uses the same telephone line used for your Brother Printer. While the answering machine receives calls, your Brother Printer pays attention to fax-sending tones.

If there is any fax-sending tone, the printer will take hold of the telephone line and retrieve the fax. 

If there is no fax-sending tone, the printer will not do anything and the caller can easily leave their message on the answering machine.

4. Fax Only Mode

In this mode, you make use of a dedicated fax line for your Brother Printer. Hence, your printer receives every call that has fax-receiving tones after it rings several times.

In this mode, although you can make voice calls, you cannot receive calls. You can only do this if you pick the incoming call before the Brother Printer fax does.

How to Set Your Brother Printer to Fax Only Mode

Do the following to set your Brother Printer to Fax only mode:

i. Press the “Fax” button.

ii. Press “Menu”.

iii. Select “Fax”.

iv. Choose “Setup Receive”.

v. Select “Receive Mode”.

vi. Choose “Fax Only”.

vii. Press “OK”.

viii. Press “Stop/Exit”.

This will cause your printer display to show the date as well as “Fax”.

5. Fax/Tel Mode

This mode does not allow you to receive voice messages using the voice mail service. Likewise, you can’t receive voice messages with an answering machine.

This mode is perfect if your Brother Printer is using the same telephone line as extension telephones.

In this mode, your printer automatically answers all calls once the ring delay is complete. The exemption to this is only if you answer before it does.

How to Set Your Brother Printer to Fax/Tel Mode

Do the following to set your Brother Printer to Fax/Tel Mode:

i. Press the “Fax” button.

ii. Press “Menu”.

iii. Select “Fax”.

iv. Choose “Setup Receive”.

v. Select “Receive Mode”.

vi. Choose “Fax/Tel”.

vii. Press “OK”.

viii. Press “Stop/Exit”.

6. Manual Mode

With this mode, your Brother Printer will not automatically answer. However, to answer incoming voice calls, you will have to lift the telephone’s handset.

How to Set Your Brother Printer to Manual Mode

Do the following to set your Brother Printer to Manual Mode:

i. Press the “Fax” button.

ii. Press “Menu”.

iii. Select “Fax”.

iv. Choose “Setup Receive”.

v. Select “Receive Mode”.

vi. Choose “Manual”.

vii. Press “OK”.

viii. Press “Stop/Exit”.

This will cause your printer display to show the date as well as “Mnl”.

Although you can use Brother Printer fax without phone line via internet faxing, Brother recommends that you use your printer with a phone line.

How to Set Brother Printer Fax Ring Delay

Do the following to set Brother Printer fax delay:

i. Press the “Fax” button.

ii. Press “Menu”.

iii. Select “Fax”.

iv. Choose “Setup Receive”.

v. Select “Ring Delay”.

vi. Choose how many times you want the call to ring before your Brother Printer answers.

vii. Press “Ok”.

viii. Press “Stop/Exit”.

How to Setup Brother Printer Fax

The following steps will guide you on how to setup Brother Printer Fax:

Step 1: Connect your Brother Printer to your answering machine by doing the following:

i. Take the telephone cord and connect it to the LINE-end.

ii. Then connect the other end of the cord to the telephone jack on your wall.

iii. Take the answering machine cord and connect it to your Brother Printer’s EXT-end.

Step 2: Turn on your Brother Printer

Step 3: Press the “FAX” button.

Step 4: Press “Menu”.

Step 5: Choose “Initial Setup” using the navigation arrow keys.

Step 6: Press “OK”.

Step 7: Choose “Station ID” using the navigation arrow keys.

Step 8: Press “OK”.

Step 9: Input your fax number using the dial pad.

Step 10: Press “OK”.

Step 11: Input your telephone number using the dial pad.

Step 12: Press “OK”.

Step 13: Input your name.

Step 12: Press the “Stop/Exit” button.

Step 13: Choose the receiver mode from any of the above which we discussed.

Step 14: Set the ring delay as we discussed above.

Step 15: Make sure your Printer fax has a dial tone.

If your Printer has a dial tone, then your fax on Brother Printer has been set up.

Once this happens, your Brother printer and fax machine can now receive faxes based on the receiver mode you chose.

If it doesn’t, check all the connections and verify if you followed the steps correctly.

If after verifying the connections and steps and there is no dial tone, then you need to Contact Brother.

The following steps will show you how to send fax from Brother Printer:

Step 1: Place the document you want to fax on your Brother Printer’s scanner or insert it into the ADF. This depends on the fax-supported feature on your printer.

Step 2: Verify that the fax preview is “ON”. If it is not, press the Fax button on your Brother Printer to turn it on.

Step 3:  Press “Sending Faxes”.

Step 4: Input the fax number you are sending the fax to on your Brother Printer’s screen.

Step 5: Press “Fax Start”. This action will cause your printer to scan and then fax the document to the receiver.

If you are using a scanner to fax, the Brother Printer will give you options to fax several documents.

If you want to fax multiple documents do the following:

i. Press “1”. This action confirms that you want to fax another document.

Continue pressing “1” as you continue to fax other pages.

ii. Press “2” when you have faxed the last page.

iii. Press “Stop/Exit” to exit fax mode.
